2. Information we may collect
We may collect contact and company details, account information, enquiries, billing records, service activity, technical logs, cookie preferences and support information. Customer workspaces may also contain course, candidate, company, instructor, booking, certificate, document, invoice and communication data entered by authorised users.
3. How information is used
Information may be used to respond to enquiries, create and manage accounts, provide and secure the service, process bookings and payments, calculate platform billing, support users, prevent misuse, maintain records and improve the platform.
4. Legal bases
Depending on the activity, processing may be necessary for a contract, compliance with a legal obligation, legitimate interests in operating and securing the service, or consent for optional analytics or marketing.
5. Customer workspace responsibility
A customer company normally decides what candidate, employee, instructor and customer information it enters and is responsible for its notices, lawful basis, accuracy, access and retention decisions. Training Genics processes that information to provide, maintain, secure and support the service.
6. Service providers and international transfers
Hosting, email, payment, analytics and support providers may process limited information on our behalf. Where information is transferred internationally, appropriate safeguards should be used where required.
7. Retention
Information is retained only for as long as needed for the relevant service, legal, security, billing or support purpose. Customer-controlled records remain subject to the customer’s own retention decisions and the applicable agreement.
8. Your rights
UK data protection law may provide rights to access, correct, erase, restrict or object to processing and to receive certain data in a portable format. You may also complain to the Information Commissioner’s Office.
9. Security and changes
Reasonable technical and organisational measures are used, including role-based access controls, private storage and secure sessions. No internet service can guarantee absolute security. This notice may be updated as the service or law changes.
